AIMS This Week - July 3, 2025
Look what we’ve accomplished
As we prepare for additional releases of MyScheduling to complete the full implementation of AIMS, it’s important to celebrate what’s been accomplished to date:
- Four out of five systems are live: finance, human resources, supply chain management in June 2024, and enterprise performance management in January 2025. These systems ensure:
- that 50,000 employees are paid every two weeks (approximately $2.5 billion annually),
- that 450,000 vendor invoices are paid annually,
- that 160,000 purchase orders for supplies are produced annually, and
- support financial reporting for over $6 billion in health-care spending.
- MyScheduling – Release 1 successfully went live on May 21, 2025 for about 3,500 out-of-scope employees, resulting in AIMS being fully implemented within 3sHealth, SAHO, and the Saskatchewan Healthcare Recruitment Agency.
- AIMS ensured 80 different, outdated systems and thousands of processes have been aligned—creating a modern, secure, digitized system with enhanced reliability and security well into the future.
MyScheduling Release 2 is live
On July 2, Release 2 went live for 1,751 employees at the former Kelsey Trail region in east-central Saskatchewan.
Release 2 includes the first group of in-scope employees to use MyScheduling. The project team has been monitoring system’s performance daily since Release 1 went live. These metrics help determine readiness between releases.
There are now four releases remaining to full implementation of MyScheduling and to complete the AIMS project.
In-person support for Release 2
Teams are providing in-person support to assist employees in Release 2 following go live. Look for the team members wearing green T-shirts. They can provide technical assistance on how to use the system and answer questions.
The latest release schedule can be found by viewing KB0014596. They will be in on site until July 11.
Leave cancellation process
When you cancel a leave, your manager must approve the cancellation. After the approval occurs, your schedule will be updated to reflect the change in 24 hours.
If you want to resubmit a different leave type for that day, you will need to wait until your schedule has been updated.
Progressive shift visibility
At go live, available shifts and shift assignments for the Release 2 employees will be visible for a limited number of weeks, gradually increasing as the rollout progresses.
This phased visibility is intentended to allow time for employees to become familiar with the system and for the project team to work behind the scenes to make any necessary adjustments.
Progressive shift offers at go live:
At go live, shift offers will be limited to a set number of weeks and will progressively extend each week:
- First week (July 2-8): Shifts will be offered up to two weeks in the future
- Second week (July 9-15): Shifts will be offered up to four weeks in the future
- Third week (July 16-22): Shifts will be offered up to eight weeks in the future
- Fourth week (July 23 onwards): shifts will be offered up to 16+ weeks in the future
Shift Assignments will progressively extend once we get to the assignment window starting the week of July 23:
- Fourth week (July 23-29): Shifts will be assigned three weeks ahead
- Fifth week (July 30-August 5): Shifts will be assigned three to six weeks ahead
- Sixth week (August 6 onwards): Shifts will be assigned six weeks into future
Important note:
This progressive extension is expected behavior. It is not a system issue when only a limited number of weeks of shifts are being offered in the initial weeks following go live.
